  • What is a Learner Information Management System (LIMS)?
A Learner Information Management System (LIMS) is a specialised software solution designed to manage the administrative processes within an educational institution. It handles various tasks such as student enrolment, attendance tracking and communication.
  • What is the difference between an LMS and a LIMS?
An LMS is designed to manage, document, track, report, and deliver educational courses or training programs. It’s widely used in educational institutions and organizations for employee training and development. On the other hand, a LIMS focuses on managing learner information and administrative processes that educational institutions must undertake during their interaction with learners.
  • Is there a system that is both an LMS and LIMS?
Yes. Moodle can be used as both LMS and LIMS. As LMS, Moodle has the ability to handle all your digital learning delivery and educational actions such as provision of learning material, engaging with learners in virtual training interactions, conducting assessments and managing learner results. When using Moodle as LIMS you are also able to manage all the learner data and information you need to store, track and report on during the learning delivery process.
  • How does the QCTO view e-learning?
The QCTO fully supports e-learning or online learning delivery. It is important to ensure that the processes of learning and education are handled in a QCTO-compliant manner. The QCTO have specific guidelines related to how you deliver learning to and assess your learners. By adhering to these guidelines, your delivery of programmes can be handled via an LMS while still being 100% compliant with the QCTO's requirements.
  • Does the QCTO look at my LMS when I apply for accreditation/
Yes. The QCTO want to see how you plan to deliver our accredited content using your LMS. That is why it is important to use the right LMS - one that allows you to handle learning material delivery, assessments and management of learner information in a way that aligns to the QCTO requirements.
  • Can I generate QCTO-compliant learning evidence with an LMS?
Yes. It requires that your courses are built and designed to contain the right content and types of assessments. Although the QCTO is not as prescriptive in relation to learning evidence as ETQA's have been in the past, it is important to ensure that courses are designed to align with the curriculum document's requirements related to formative and internal summative assessments. These assessments must cover all the internal assessment standards and criteria covered in the qualification being delivered via your LMS. One of the key pieces of evidence of learning is the Statement of Results (SoR). This is a document that is generated by the training provider and must indicate the academic performance of the learner in relation to all knowledge, practical and workplace experience modules contained in the qualification making it similar to a school report. Some LMS are equipped with the ability to create a SoR, although not all are able to automate the process.
  • Can I create a Statement of Results with an LMS?
Yes. Under the QCTO, a key piece of evidence of learning is the Statement of Results (SoR). This is a document that is generated by the training provider and must indicate the academic performance of the learner in relation to all knowledge, practical and workplace experience modules contained in the qualification. Most LMS's are equipped with the ability to create a type of report card or SoR, although not all are able to automate the process. If you use Moodle, you can configure automatically generate the SoR and ensure that it complies with the QCTO's requirements and template. You are also able to embed various security and verification features in the SoR to prevent it from being falsified.
  • Does the QCTO approve or endorse any LMS's?
No. The QCTO don't actively endorse or approve any specific LMS's. The QCTO simply evaluate how you use the LMS you choose to use. This means that the QCTO look at how you - as training provider - deliver learning, handle e-assessments and engage with the learner using your LMS. We recommend Moodle as a reliable and robust LMS proven to deliver learning in a QCTO-compliant manner.
  • Which LMS's are QCTO-compliant?
The QCTO doesn't approve any specific LMS. When choosing an LMS, you should pick a system that makes it possible for you to deliver your programmes in a way that is QCTO-compliant. This speciifcally pertains to how you make learning material available, how you handle assessments, how you manage learning information and how you communicate with and support learners.
  • Can I offer live online tutorial sessions with multiple students on Moodle?
Yes. Moodle has various virtual classroom tools available. Multiple sessions can be added to a course and scheduled on a course calendar. Everyone who is a participant in that course can access the session. Participants include the following: Learners Facilitators, Assessors and Tutors Course managers
  • What plagiarism detection tools can be integrated with Moodle?
Moodle supports more than 20 unique plagiarism checkers. Some require licensing, where others offer free solutions. Paid solutions typically provide a higher degree of efficacy. Some of the more popular plugins include: Turnitin: An academic integrity checker for any content submitted by learners via assignments, forums, and workshops. A Turnitin license is required for use. Copyleaks: An integrity checker that detects potential plagiarism by evaluating if content has been AI-generated, paraphrased and more. Vericite: An integrity checker that provides a latent background scan of content submitted by learners.
  • Can I create courses on Moodle and edit them later?
Yes. Once a course is built, it’s contents and structure can be changed and edited at any time. You can add, re-order or restructure course sections. You can add interactive content such as SCORM por H5P, media such as images and video or even just change the titles of heading and content already added to the course.
  • Can learners submit assignments on Moodle?
Yes. The Assignment on Moodle is a very powerful assessment tool. It allows for multi-object submission during the assignment submission period. This means that a student can submit multiple objects within the time frame provided. For example: an assignment’s submission period can be set to 5 days during which time learners are required to submit multiple documents before the closing date. Learners can submit all the required documents as and when they have it ready during this period. The assignment submission remains in draft mode. Only when the learner clicks on ‘Submit’ is the assignment submitted. The submission will then include all the documents or content the learner uploaded. Learners can therefore submit a document or text, save the draft and come back in a few days to add the remaining documents. Once the learner is satisfied that all documents are uploaded, he / she can click on ‘Submit’
  • How can assessors, tutors and trainers provide feedback to learners when evaluating assessments?
When using Assignments in Moodle, submissions from a learners can be evaluated and furnished with rich feedback such as video, audio or plain text. Assessors can also use the function of multiple feedback and review cycles. This means that learners receive the feedback, make the needed revisions to the original submission and make a new submission. For example: Graders / assessors grade content on screen and provide video, text and audio feedback. Learner is notified automatically of the assessment outcome and can review all the feedback. If deemed “Not competent” (therefore not meeting the requirements), the assignment remains open for that learner. The learner can make a new submission which will then be assessed. This cycle continues until the learner is declared competent, at which point the assignment will close for that learner. All versions of the submission made by the learner as well as all feedback provided on historical submissions are stored and accessible.
  • Does Moodle allow for ongoing communication and support being offered to learners?
Yes. Moodle has various communication mechanisms available - both in courses and on the dashboard. This includes the following: One-on-One Messaging Group Messaging QuickMail Email Course participant messaging These mechanisms can be used to provide open lines of communication for learners. This does require that such communication channels be manned at the times that they are available. For example: If learners are allowed to send messages to tutors during the weekend, the tutor must respond and be available.
  • Can mentors be allocated to learners (mentees)?
Yes. Moodle provides a mentoring function where learners can be allocated to mentors. This provides a structured environment where mentors can view the academic progress of their learners / mentees, view progress and also be made aware of any problems (such as not logging in, failure to complete assignments and tasks, etc). Mentors are able to review only the mentees assigned to him / her. This function can also be used to give representatives from employers (or those funding the training) to view progress of the learners for whom funding is provided. Mentees can be communicated with directly using the messaging tool available in Moodle.

  • How much interactive content should I add to courses?
Important considerations when deciding to use interactive content: Highly interactive content requires learners who are able to engage with and move between different formats of content with ease. Typically this is found in more mature learners at higher NQF levels. Interactive content is best suited to shorter courses because interactive content requires more time to work through. Interactive content can consume allot of data when viewed and is therefore best suited to contexts where learners have access to uncapped or free internet access and aren’t reliant on mobile data.
  • Can I create a course on Moodle and edit it later?
Yes. Once a course is built, it’s contents and structure can be changed and edited at any time. You can add, re-order or restructure course sections. You can add interactive content such as SCORM por H5P, media such as images and video or even just change the titles of heading and content already added to the course.
